Third-Party Inspection of a Kobelco Parts Order: A Brief That Actually Works

An inspection after the container arrives is a claim; an inspection before it ships is a correction. How to write a Kobelco parts inspection brief, what an inspector can and cannot verify, and how sampling and paperwork decide the outcome, from Guangzhou Shenyue Machinery Technology Co., Ltd.

Every parts order that crosses a border carries a small amount of risk that is cheap to remove and expensive to discover late. A wrong number, a short quantity or an unmarked aftermarket part found at destination means freight in both directions, a machine standing still, and an argument conducted across time zones. Found before the container closes, the same problem costs an email. Guangzhou Shenyue Machinery Technology Co., Ltd. ships against inspection briefs regularly, and the briefs that work all share the same five or six fields.

Why the inspection has to happen before shipment

After arrival, an inspection is evidence for a claim. Before shipment, it is a correction. A part returned from overseas pays freight both ways, duties both ways and weeks of downtime, while the same part swapped on the warehouse floor costs a walk to another shelf. The only requirement is that somebody with a checklist looks at the goods while they are still accessible.

What an inspector can and cannot verify

An inspector can verify what is countable, measurable and visible: quantity, part number as marked on box and part, dimensions against a drawing, thread type and pitch, coating, presence of seals and caps, packaging condition, and the marks on the crate. An inspector cannot verify that the number you ordered is the number your machine needs. That judgment belongs to the buyer and, when the plate is readable, to the supplier who confirmed the fitment. Inspection protects you from a packing error, not from a specification error.

The brief: six fields that do the work

FieldWhat to write
Part number exactly as orderedEvery alternative marking accepted, written out, for example 24100N7035F3J1B or 24100N7035F3CN
Quantity and unitPieces, sets or kits, stated the same way on invoice and packing list
Critical dimensionsBore, outer diameter, height, length, thread; tolerance where it matters
Condition requirementGenuine, OEM or aftermarket, stated per line rather than per order
Photograph requirementOne photo per line showing the marking and one showing the packed carton
Rejection ruleWhat happens on a failed line: hold, replace, or ship with a note

Sampling: when to check everything

First orders, high-value lines, safety-critical parts and anything with a long lead time deserve one hundred percent checking. Repeat orders of consumables, where the same number has shipped correctly for two years, can be sampled. Sampling only works if the sample is random and the batch is homogeneous; if a carton contains mixed numbers, sample within each number. Write the rule into the brief rather than leaving it to the inspector, because an inspector asked to "check the order" will check the top layer. Guangzhou Shenyue Machinery Technology Co., Ltd. applies the same rule in reverse: first shipments leave with a photograph of every line, repeat lines with a photograph of the carton.

Measuring without a drawing

Most Kobelco parts can be checked with calipers, a thread gauge and micrometer. Seals by inner diameter, outer diameter and height. Bearings by bore, outer diameter and width, with the tolerance class read from the marking. Hoses by length, end fitting type, angle and thread. Filters by height, diameter and thread. A photograph with the caliper jaws on the feature is worth more than a written number, because it shows what was measured. Published bearing tolerance information from manufacturers such as SKF is a useful reference when a drawing is not available.

Paperwork that fails at customs

Packing list, invoice and physical cartons must agree on quantity, description and part number. A packing list that says "hydraulic parts, 1 set" against an invoice that lists eleven part numbers is an invitation to delay. State the part number on the invoice and make the carton marks match the packing list line for line. Get any certificate of origin before the container is sealed.

Our side of the brief. Guangzhou Shenyue Machinery Technology Co., Ltd. photographs every line before packing, matches carton marks to the packing list, and states genuine, OEM or aftermarket on each line rather than on the order as a whole. With 3,000+ part types on the shelf and 100,000+ part numbers available to order, most inspection questions are answered by a photograph taken before the carton is closed.

Matching the brief to the buying stage

The brief for a first order should be strict, because everything about the transaction is new: the supplier, the numbers, the packaging and the route. Once a number has shipped correctly three times, the brief can relax to sampling and photographs. What must never relax is the written part number, because that is the one thing an inspection cannot fix. Our receiving inspection protocol covers what to do when the crate is opened at the other end, and the export packing guide explains what survives a sea voyage. For multi-brand orders outside the Kobelco range, our sister site corbayparts.com covers the wider catalogue, while excavatorpartsglobal.com handles full-range enquiries.

Before the container closes

Send the brief with the purchase order, not afterwards, and name the person who will approve or reject each line. Attach it through the contact page with the order, and confirm the part numbers against the machine serial before the inspection date rather than during it. Ten minutes of writing saves a container of arguments.

Frequently Asked Questions

Can a third-party inspector confirm that a Kobelco part is genuine?

Only partly. An inspector can record markings, packaging, casting marks and finish and compare them with reference samples, but genuineness is a supplier-level question. The brief should state genuine, OEM or aftermarket per line, and inspection checks the declaration, not the supplier.

When is a full inspection worth the cost on a parts order?

On first orders with a new supplier, on high-value lines such as pumps, controllers and final drives, on safety-critical parts, and on anything with a long lead time. Consumables from a supplier with a clean history can be sampled. Inspection normally costs a fraction of one returned unit's freight.

What should the inspection brief contain for hydraulic parts?

Part number with all accepted alternative markings, quantity, mounting dimensions, port threads, shaft or spline details, displacement marking, and photographs of the nameplate. Guangzhou Shenyue Machinery Technology Co., Ltd. confirms hydraulic numbers such as 2924610-0030 against the machine serial.

How do I avoid customs delays on a Kobelco parts shipment?

Make the packing list, invoice and carton marks agree line for line on quantity, description and part number, and avoid vague descriptions when eleven numbers are inside. Obtain any certificate of origin before the container is sealed. Inconsistent documents are the most common cause of delay.
